Use AssinaJá in Telegram

Once you link Telegram to your account, an AssinaJá bot alerts you about your documents and answers commands: what you have to sign, where a document stands, the signed PDF. Depending on what your organisation allows, it also creates documents and signs without leaving the chat.

It lives in Settings → My account → Messengers. If the page says “No messenger is available in this environment.”, Telegram is not available on this AssinaJá installation.

On the Chat channels card, press Link Telegram. The Link Telegram to your account dialog has three steps: Confirm it’s you, Open Telegram and Confirm the account.

AssinaJá sends a 6-digit code to your account’s email:

We sent a 6-digit code to {{email}}. Enter it to confirm it’s you.

Type it in Confirmation code and press Continue. Why it asks even though you are signed in is what the dialog says: a linked chat starts receiving alerts about your documents and, if the organisation allows it, files and signature requests.

If you signed in less than 20 minutes ago, this step is skipped and the dialog opens on the second.

Resend code becomes available one minute after the previous one.

Press Open in Telegram — or, on another device, use Or copy the link and Copy. In the chat with the AssinaJá bot, @assinajabot, press Start. The bot replies:

Request received. Confirm on AssinaJá that this is your Telegram to finish linking.

The link lasts 5 minutes; the dialog counts down (“The link expires in …”). Asking for a new link cancels the previous one.

Back in AssinaJá, the dialog asks “Is this your Telegram account?” and shows the username, the stated name — “not verifiable”, because anyone can pick the name they show — and the Telegram ID, the only detail that reliably identifies the account. To check it, the screen’s own tip: “Compare it with your Telegram profile or ask @userinfobot for your id.”

Press Yes, it’s me. If you don’t recognise the account, press No — “Link refused. Nothing was linked.”

You have 10 minutes to confirm. If you close the dialog first, the chat stays in the list as Pending confirmation, with Confirm and Decline.

When it’s done, the screen says “Chat linked. You can now receive alerts and use /ajuda in Telegram.” and the bot confirms in the chat, with the account’s email partly hidden:

This chat is now linked to the AssinaJá account {0}. If this wasn’t you, send /desligar.

The commands are Portuguese words and stay the same in every language. /ajuda lists them in the chat; so does Telegram’s Menu button.

Command What it does
/pendentes Documents waiting for your signature
/recentes Recent documents, sent and received, 10 per page
/enviados Documents you sent that are in progress
/pesquisar word or #no. Search documents by word or number
/estado no. Status of a document you sent or received
/pdf no. Signed PDF of a completed document
/relatorio no. Completion report
/criar Create a document
/enviar no. Send a draft created in the chat
/assinar no. Sign a document in the chat
/cancelar Cancel the current step
/ajuda Show the help
/desligar Unlink this chat from the account

The bot only works in a private chat — in a group it replies that it only works in a direct conversation. In /estado, the other recipients’ emails are shown only to whoever sent the document.

Alerts, files, creating and signing in the chat are off by default. Each organisation decides under Settings → Organization → Policies → Chat — see Configure organisation policies. What counts is the organisation that owns the document: the same chat can get the PDF of one organisation’s document and not another’s.

To… The document’s organisation must have
get alerts Allow notifications in chat
request /pdf and /relatorio Allow document files in chat
use /criar and /enviar Allow creating and sending documents in chat — and the person must be able to send documents
use /assinar Allow signing in chat

The lookup commands — /pendentes, /recentes, /enviados, /pesquisar, /estado — do not depend on any of these policies.

/pdf and /relatorio only work for completed documents you can see, up to 45 MB. Files the bot sends also stay on Telegram’s servers.

/criar asks one question at a time: the organisation, a template or a file (PDF or DOCX, up to 20 MB), the signers (up to 10), the signing order, and shows a summary before Save draft. If you go 30 minutes without answering, the wizard closes.

What happens next depends on the policy Documents created outside the browser start as drafts:

  • On — the document stays a Draft and the bot gives you the link to review and send it in the browser.
  • Off — /enviar sends it from the chat, but always asks you to Confirm sending first. The confirmation lasts 10 minutes.

/enviar only sends drafts created in the chat.

/assinar is for simple documents. It only works when:

  • the document’s organisation has Allow signing in chat
  • you have a single signature line on that document, outside a process
  • the method is simple signature, initials, SMS OTP or identity confirmation — the Digital Mobile Key and certificates are never signed in the chat
  • the document has no fields to fill in, and no SMS or password protection required by the sender
  • you have a saved signature — and initials, if the document asks for them; see Set up your signature

The bot sends a 6-digit code to the email the invitation was sent to, asks for your ID number or the SMS code if the sender required them, sends you the PDF to review, and only signs once you press Sign. Each step lasts 10 minutes.

When a document does not meet these conditions, sign it as usual from the email link — see Sign a document.

With the policy on in the document’s organisation, the chat gets the same alerts as email for seven situations: document to sign (with and without action), document ready, document rejected, your document rejected by a signer, document signed as the only signer, and reminders.

In My account → Notifications, the Telegram column turns each one on or off. Alerts carry the document’s name and number and a link to AssinaJá — never the signing link.

In Messengers, press Revoke next to the chat — “Chat unlinked.” In Telegram itself, /desligar does the same, without asking for confirmation.

Linked chats are unlinked automatically when you:

  • change or reset your password
  • change the account’s email
  • turn two-step verification on or off
  • remove an external login (Google or Microsoft)
  • delete the account

If you block the bot in Telegram, the chat becomes Blocked by the user and stops getting alerts. To use it again, revoke it and link it again.

Message What to do
“Wrong code.” Check the code in the most recent email
“The code has expired. Please try again.” Try again — more than 5 minutes passed on the link, or 10 on the confirmation
“Wait a minute before requesting another code.” Wait, then press Resend code
“Account temporarily locked after too many attempts. Try again in {{minutes}} min.” Too many wrong codes; wait the minutes shown
“You can’t link a chat on someone else’s behalf while impersonating.” End the impersonation; each person links their own chat
“This chat is already linked to an account. Unlink it first with /desligar.” (in Telegram) the chat belongs to another account
