Manage contacts and groups

Contacts save you retyping names and email addresses every time you send a document. Groups go further: they let you address a whole set of people at once.

Choose Add contact and fill in the details. You get Contact created with success when it saves.

Two things are rejected:

  • Invalid email — the address is not a valid one
  • “You already added a contact with the same email” — you already have a contact with that address

Use Edit contact to change one later; it confirms with Contact updated with success.

Organise contacts into groups to simplify document sending

Under the Groups tab, Create group makes a new one. A group needs at least one contact — creating an empty one is refused with “Please choose one contact”. Group names must be unique: “You already added a group with the same name”.

Edit group manages membership through Add contacts to group and its list of Group users. Each change confirms individually — “Contact added to group with success” and “Contact removed from group with success”.

The group list shows Number of contacts so you can see how many members each holds.

Import contacts in bulk from an Excel file

The flow, under Import contacts and groups, is three steps:

  1. Download import contacts template file.
  2. Fill the template file (.xlx) with the desired contacts.
  3. Import the edited file and save your new contacts.

Start from Download template rather than building your own spreadsheet — the import expects that exact layout.

Errors identify the offending row by Line, so you can go straight to it in the spreadsheet.

An import does not only add. If a contact in the file matches one you already have, it is updated — and the result tells you which:

The same list appears under Updated contacts. Worth reading rather than dismissing: it is the only place you find out what the import changed.
