Ask to join your company's organisation

If your company already uses AssinaJá, do not create a new organisation: ask to join theirs. Whoever manages the company’s account receives the request and decides. If the difference between an account and an organisation is not clear yet, start with Create your account.

On the How will you use AssinaJá? screen, choose Join my company’s organisation. Ask to join your company’s organisation opens — “Whoever manages your company’s account receives your request and decides.”

  • Name — yours, already filled in. It is the name the approver sees, so make sure it identifies you.
  • Company VAT number or email of the person who manages the account — required. Enter one of the two (e.g. 501964843 or manager@company.com).
  • Message for the approver (optional) — up to 500 characters. One line is enough for the approver to know who you are, for example “I’m Ana, from accounting.”

Then Send request.

  • The company’s VAT number (NIF) reaches every active organisation with that number. If there is more than one, each receives the request.
  • The email must belong to someone who manages the company’s account: the organisation’s Owner or an Administrator. A colleague’s email with another role does not find the organisation — and since the screen does not tell you whether it found one (see below), you will not know you got it wrong. If in doubt, use the VAT number.

If what you typed is neither a valid VAT number nor an email, you see:

Enter a valid VAT number (e.g. 501964843) or the email of the person who manages the account.

Below the field it says:

For privacy, we don’t tell you whether the organisation exists. If it does, the people who manage it receive your request by email.

That is deliberate. Anyone can create an account, and if the screen said “that organisation does not exist” it could be used to find out which companies are AssinaJá customers. So whether or not an organisation is found, the answer is the same. You only learn whether the organisation exists when someone who manages it decides your request.

After sending, you see Request sent:

If the organisation exists, the people who manage it have received your request. You will get an email when it is approved or declined.

Under Open requests is what you typed — the VAT number or the email — and the date you sent it. Never an organisation’s name: for the same privacy reason.

While you have an open request, this is the screen you see every time you sign in. It has three buttons:

Button What it does
Check again Reads the status again. If the request has been approved, you go into the application. If it was declined and you have no other open requests, you go back to the choice between creating and joining.
Create my own organisation Opens the Create a new organisation form. Requests are only cancelled once the organisation is actually created — if you give up halfway, the request stays open.
Cancel request Cancels your open requests and takes you back to the choice between creating and joining.

Approved — subject “Join request approved: {organisation}”. The email says the request was approved and that “You can now sign in to AssinaJá and work with your team.” Sign in (or choose Check again if the screen is still open) and you are in the organisation, with the role the approver chose.

If you asked more than one organisation, the first approval closes the other requests.

Declined — subject “Join request not approved: {organisation}”. If the person who declined wrote a reason, it is in the email. The email suggests: “If you think this is a mistake, talk to the person who manages the organisation and ask them for an invitation. You can also create your own organisation the next time you sign in to AssinaJá.”

The waiting screen itself answers:

No answer? Ask the person who manages your company’s account to invite you directly, or create your own organisation.

If the VAT number or the email did not match any organisation, nobody will decide the request: it stays open until you cancel it or create your own organisation. So if the wait drags on, check with your company the VAT number or email you used, or ask them for a direct invitation — see Accept an invitation.

You can have up to 3 different VAT numbers or emails open at once, and send up to 5 different ones per hour. Sending again a VAT number or email that is already open does not count as a new request and does not notify anyone again. Beyond the limits, you see:

You have already sent several requests. Wait for an answer or try again later.

The request made in the step right after registration is for people who do not belong to any organisation yet. If you already have one, see the next section.

If you created a free organisation — by mistake, or before your company joined — you can ask to join the company’s without waiting for an invitation. It is only possible when all three conditions hold:

  • you are the organisation’s Owner;
  • the organisation is on the free plan;
  • you are alone: no colleagues or invited people, and you belong to no other organisation.

A paid organisation, or one with colleagues, does not have this option: it needs an invitation.

Read this before asking: when the request is approved, your free organisation is gone for good. Every document, template, draft, contact and folder is deleted, and none of it can be recovered. Documents still awaiting signature are cancelled, and the signers get a cancellation email with the reason “The document creator’s organisation was closed.” If you need any document, download it before asking.

Under Settings → Organization → Ownership, in the Join another organisation section, choose Ask to join another organisation. The dialog tells you what will be deleted, with the real number of documents:

The organisation “{name}” will be permanently deleted.

Fill in Company VAT number or email of the person who manages the account and, if you like, the Message for the approver (optional) — the same rules as in Send the request. Send request only becomes active once you tick “I understand that, when the request is approved, “{name}” and everything in it are deleted and cannot be recovered.”

Nothing is deleted when you ask. The screen says so: “Nothing is deleted now: only when someone in the other organisation approves the request. Until then you can cancel it.” While the request is open, the same section shows it and offers Cancel request.

The approver sees the note “Has a free organisation, which is deleted when you approve.” on the request. On approval, you join the new organisation and only then is the old one deleted.

If in the meantime your organisation stops meeting the conditions — it gained a colleague or changed plan — the request can no longer be approved and nothing is deleted. If you try to ask in that situation, you see:

This organisation can no longer be swapped (it has other members or changed plan). Ask the other organisation for an invitation.
