Invite people to your organisation
You invite people under Settings → Organization → Users — “Manage team members and invitations”.
Everyone sees the tab, but the member list and the invite button only appear to the Owner and the Administrator. For every other role, the tab only shows, when there are any, the invitations that person has yet to accept. See Roles and permissions.
Invite one or more people
Section titled “Invite one or more people”- Choose Add. Invite user opens.
- Under Recipients, type one or more email addresses — “Separate several
recipients with a comma or semicolon.” A name before the address works too:
Name <name2@example.com>. - Under Role, choose the role. Each option carries a line saying what the role does; Owner is not on the list.
- If you like, write a Message (optional), which goes out with the invite.
- Turn on Has access to all subscription documents if the person should have access to all of the organisation’s documents.
- Invite — or Invite ({n}), with more than one recipient.
One mistyped address does not hold up the rest: “{n} recipient(s) with an invalid email won’t be invited”. The role, the message and the document access apply to every recipient in that batch; for different roles, send separate batches.
The result
Section titled “The result”Invites processed shows one row per person, with Sent or Failed. Next to each invite that went out there is a Copy link button — useful for sending the link some other way if the email is slow.
| Message | What it means |
|---|---|
| “The user is already part of the subscription” | That person has already been invited or is already a member |
| “The maximum number of users you can add to your subscription has been reached” | The seats ran out partway through the batch — see below |
When you cannot invite
Section titled “When you cannot invite”The form does not even open in two cases:
- “It is not possible to add users in trial version subscriptions”
- “It is not possible to add users to an expired subscription”
If the plan has no seats left
Section titled “If the plan has no seats left”The number of seats comes from the plan. When they are all taken, the invite does not go out and a dialog opens:
Your plan has no seats left
Your subscription no longer allows inviting more users.
To invite someone else, add seats to your plan. The users you already have stay exactly as they are.
Upgrade plan takes you to the store’s Add-ons; Not now closes and leaves everything as it was. Nobody is removed or loses access because of this — the cap only stops new invites.
To see how many seats you have and how many are taken: Store → Subscription, under Resource Usage, on the Users row.
Follow up invitations and members
Section titled “Follow up invitations and members”Each invited person joins the list with the Status Pending until they accept. The menu on each row changes with the status:
| Status | What you can do |
|---|---|
| Pending | Resend invite, or Invite link to copy it |
| Declined | Resend invite |
| Active | Edit Role, Deactivate |
| Inactive | Activate |
Deactivate and Delete do not appear on your own row. Delete asks for confirmation: “Are you sure you want to remove {email} from the organization? This action cannot be undone.”
If Invite link answers “This user already has an account — they need to log in to see the pending invite”, the person already has an AssinaJá account: the invitation waits for them when they sign in.
Join requests
Section titled “Join requests”Above the list you may see Join requests:
People who created an AssinaJá account and asked to join this organisation. Only approve people you know: once approved, they become a member with the role you choose and take up one seat of the plan.
Approve asks for the role; Decline takes an optional reason, which is sent to the requester.
Whoever manages the organisation hears about a request by email — subject “Request to join {organisation}” — and through the notification bell. The email’s View join requests → link, and the notification, open Settings → Organization → Users directly, where the request is waiting. The same goes for the notifications of an invitation received and of a declined invitation.
The other side
Section titled “The other side”What the invited person sees, and what to do when the link does not work, is in Accept an invitation.
